Managed Print Questions
Print is the last part of most businesses nobody has looked at properly.
These are the questions we get asked most often, answered the way we'd answer them on the phone, without the sales pitch.
Aren't we printing less than we used to anyway?
Almost certainly. But the machines, the contracts, the toner and the support calls usually haven't shrunk with it. Most businesses are still paying for a print setup built for how they worked in 2019, the volume halved, the cost didn't. That gap is where the savings live.
How much does managed print cost?
It depends on how many machines you have and how much you print. Some businesses prefer one fixed monthly fee, while others pay per page. The honest answer is that we'd need to see what you're spending today, and most people can't tell us, which is exactly the problem.
Do you supply the printers?
We can, but we don't have to. We'll manage whatever's already on your floor — HP, Brother, Ricoh, Canon, the lot. We're not tied to one manufacturer, so we've no reason to tell you the answer is a shiny new machine when it isn't.
We're locked into a contract, is it too early to talk?
No, now is the right time. Print contracts tend to roll over quietly, and the moment to review is months before renewal, not weeks after. We'll look at what you've got now, so you walk into that conversation knowing exactly what you're buying and what it's worth.
Why would an IT company look after our printers?
Because a modern printer is a computer. It stores documents, holds the passwords to your email and file systems, and sits on your network with everything else. You wouldn't leave an unpatched laptop in the corridor for anyone to walk past, this is the same conversation.
Helpdesk Engineers
Printer tickets are the ones that make people angriest, because it's always urgent and it's never their fault. Half of what my team fixes could have been prevented by a machine telling us it was struggling three days earlier. That's really all this service, the printer asking for help before your customer's invoice is stuck in a queue.
Four Ways We Take Print Off Your Plate
Print is a slow leak rather than a burst pipe, it rarely causes a crisis, so it rarely gets looked at. That's why it's usually one of the easiest costs in a business to cut, one of the easiest security gaps to close, and one of the last places anyone thinks to look.

Our Approach
How Managed Print Works at Dunedin IT
Start your journey today...
Connect with our experienced team for a free consultation. We'll take a look at your current setup and talk about how we can support your business goals.
1 - Discovery
We start with a straightforward conversation about how your business actually works. Where do people print, what for, and what already drives them mad? We're listening for the things nobody has thought to complain about — the machine in the corner everyone avoids, the toner someone buys on their own card.
"We're not counting printers yet. We're finding out how your business actually runs."
2 - The Audit
We go and find every machine you own, including the ones that have quietly dropped off the books. We measure what each one costs to run, how much it's actually used, and where it's exposed. You get a written picture of your print setup as it stands today — no obligation attached to it.
"Most people are surprised by two numbers: how many machines they own, and what they cost."
3 - The Plan
We show you the simpler version of what you've got: fewer machines, in better places, costing less, with the security gaps closed. You'll see the saving, what changes for your team, and what stays exactly as it is. Nothing moves until you're happy with the plan.
"Fewer, better-placed machines almost always beats more of them."
4 - The Switch
We handle the changeover so your team barely notices it happened. Printers are set up, connected and secured, everyone is shown how to release their own print jobs, and we stay close during the first fortnight while people find their feet. Old contracts and old hardware get dealt with properly.
"A good changeover is one your team can't remember afterwards."
5 - Day To Day
From then on it looks after itself. Machines tell us when they're low or struggling, toner arrives before it runs out, and anything that does go wrong comes to us rather than to your team. If a machine needs hands on it, we arrange that and see it through to the end.
"You should only think about printing when you're actually printing something."
6 - The Review
Every quarter we come back with the numbers: what you printed, what it cost, what changed and what's worth adjusting. Businesses shift, people join, offices move, work goes digital. The setup should shift with them rather than sit untouched until the contract ends.
"A print setup that never changes is a print setup that's slowly going out of date."
